The Role

School Administrator – Maternity Cover (25 hours per week, fixed term to 27 June 2025)

We are seeking a friendly and professional individual with a can-do attitude to join our Junior School on a temporary, two-month contract to provide maternity cover. This role is ideal for an organised, proactive, and detail-oriented individual who enjoys working in a busy office environment. The role will provide support to Junior School, with occasional tasks in Senior School. 

Working hours are normally 0830 to 1330 Monday to Friday. We understand the importance of work-life balance and will consider flexibility in how these hours are worked.  

 Requirements:

  • Previous administrative experience
  • Friendly, professional, and able to work in a busy environment
  • To have a professional appearance and high standard of telephone, written and communication skills
  • To have a proactive and positive attitude 
  • Ability to be thorough and pay excellent attention to detail
  • Ability to adapt well and quickly to new and varied tasks
  • Excellent written and verbal communication skills
  • Strong organisational and multitasking skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)

Key Responsibilities:

  • Front of House reception / welcoming parents and guests 
  • Administration support to teaching staff across the school
  • Assist with completion of registration to produce the daily audit report
  • Assisting with the absentee process across the whole school 
  • Assist with the input/amendment of entries onto the school calendar
  • Managing parent queries and field as required (telephone, verbal and written) including writing and sending routine replies to queries, e.g. leave of absence requests etc.
  • Issue parent communications for the School
  • General School Office administration including liaising with central School functions for centralised tasks; school trips; stationery ordering and arranging catering for events. 
  • Other miscellaneous administrative duties on a day to day basis, as required, which may include covering for other members of the Administrative Team
  • Assist with collection of children throughout the day (i.e., to attend appointments)
  • Occasional supervision of pupils

About the Junior School

Loretto Junior School is East Lothian’s leading independent Junior School for children aged 3 to 12 – with around 150 girls and boys in attendance. We enjoy an ideal location, right on the west bank of the River Esk and next to the local beach. Our catchment area is wide and we are easily accessed from Midlothian, Edinburgh and the Borders, with an extensive school transport service. 

We are predominantly a day school but every year we welcome a number of boarders from age 11. Our Pre-School (ages 3 to 5) and Early Years (ages 5 to 7) are based at Eskbank, while Years 4 to 7 (ages 8 to 12) are at North Esk Lodge.

The North Esk Lodge is also the Junior School’s busy hub for both all pupils, situated on a site close enough to the Senior School to share its facilities, but separate enough to allow our younger children to feel secure and happy in their own independent environment.
